Room Hire Terms and Conditions
These Terms and Conditions are here to keep the Centre running smoothly so everyone can enjoy their time here.
When you book room or party hire at Doubleview House Community Centre, you are agreeing to use the facilities within our required terms and conditions.
1. Health, Safety and Emergencies
Emergency Information
• First Aid Kit is located in the main kitchen.
• AED (Defibrillator) is located at the Scarborough Beach Road main entrance.
• Hirers are responsible for informing attendees of emergency procedures and facility information at the commencement of each session.
• Evacuation plans, emergency exits, fire extinguishers, first aid kits and assembly points are displayed throughout the Centre.
• Please contact the office if you require further information regarding emergency procedures.
Nut Aware Venue
Doubleview House is a nut aware venue. Please be mindful when bringing food into the Centre.
Smoke-Free Environment
Doubleview House maintains a smoke-free environment, including vaping.
Alcohol
Doubleview House is not a licensed venue. The sale of alcohol on the premises is prohibited.

2. Children's Parties and Supervision
• Doubleview House only permits children's parties for children under 5 years of age.
• The safety and supervision of children remains the responsibility of the hirer at all times.
• Balloons may only be used indoors.
• Please use blu-tack when hanging decorations. Nails, pins, tape and other adhesives must not be used.

3. Use of Facilities and Equipment
• Equipment must only be used for its intended purpose and within designated areas.
• Please ensure the Centre is kept neat and tidy and ready for the next user.
• Furniture and equipment must be returned to their original locations at the conclusion of your hire.
• Attendance outside your booked hire times is not permitted and may result in cancellation of future bookings.

4. Bookings, Payments and Cancellations
Payments
Party Hirers and Casual Room Hirers
• Full payment must be received before the booking date.
• Party bookings will not be confirmed until payment has been received.
Regular Hirers
• Invoices are issued quarterly.
• Payment is required within 30 days of invoice date.
• Doubleview House reserves the right to cancel future bookings if payments remain outstanding.
Cancellations and Amendments
Party Hirers and Casual Room Hirers
• A minimum of 48 hours' notice is required for cancellations.
• If less than 48 hours' notice is provided, 25% of the booking fee will be retained.
Regular Hirers
• A minimum of 7 days' notice is required to cancel a single booking without charge.
All Hirers
• Failure to attend or cancel a booking will result in the full hire fee being charged.

5. Keys and Access
Casual and Party Hirers
• Key collection must be arranged with the office during office hours.
• Keys must be returned within one week of the hire date.
• Party hirers may return keys via the mailbox at the Scarborough Beach Road entrance.
Regular Hirers
• A key may be issued for bookings outside office hours.
• A refundable key deposit is required.
• The issued key remains the responsibility of the hirer until the hire agreement ends.
• Lost keys will incur replacement costs.
• The key deposit will be refunded upon return of the key.

6. Insurance
• Groups, organisations, businesses or individuals conducting commercial activities or charging participants an entry, attendance or participation fee must provide a current Certificate of Currency for Public Liability Insurance prior to the booking.
• Doubleview House reserves the right to refuse or cancel a booking if the required insurance documentation is not provided.

7. Cleaning Responsibilities
Doubleview House does not employ cleaners between hires. Hirers are responsible for leaving the Centre clean, tidy and ready for the next user.
At the conclusion of your hire:
• Vacuum all areas used.
o Vacuum cleaners are in the laundry (off the main kitchen) and the meeting room storeroom.
• Mop any spills on lino flooring.
o Mop is in the laundry.
• Wipe down all tables, trestles and surfaces used.
• Remove all rubbish from the premises.
o Bin liners are available in the kitchenette and main kitchen.
• Remove all decorations.
• Return furniture and equipment to their original locations.
• Return outdoor furniture and toys to the shed and lock it.
o Please ensure the shed key is returned to the office door before locking.
• In the Playroom, return all toys to their designated locations using the guide photos provided.
A cleaning fee may be charged if the Centre is not left in a clean and tidy condition.

8. Lock-Up Procedure
Before leaving the Centre, please ensure:
• All lights are switched off.
• All fans and air conditioners are turned off.
• All blinds are drawn.
• The oven in the main kitchen is switched off.
• All doors are locked.
• Keys are returned to the lock box or posted through the mailbox (where applicable).

9. Damage and Liability
Damage to Property
Doubleview House does not require a bond and trusts hirers to respect and care for the Centre.
Any damage caused to Doubleview House property through wilful or negligent actions must be paid for by the person(s) responsible.
If you notice any damage or maintenance issues during your hire, please notify the office as soon as possible.
Indemnity
The Hirer indemnifies and releases Doubleview House Community Centre from:
• Any accident, injury, loss or damage to persons or property arising from the use of the Centre.
• Any loss, damage or costs incurred by Doubleview House resulting from a breach of these Terms and Conditions by the Hirer.
