Room Hire Terms and Conditions

These Terms and Conditions are here to keep the Centre running smoothly so everyone can enjoy their time here. 


When you book room or party hire at Doubleview House Community Centre, you are agreeing to use the facilities within our required terms and conditions.  

1.    First Aid Kit is in the main kitchen. 
AED (Defibrillator) is located at the Scarborough Beach Road main entrance.

It is your responsibility to provide information on facilities and emergency procedures to your attendees. We recommend that you do this at the onset of every hire use session. Clear evacuation plans are on display throughout the centre, including the location of emergency exits, fire extinguishers and first aid kits, and evacuation points. If you have any questions or require more information about emergency procedures, please contact our office.

2.    Doubleview House is a nut aware venue.

3.    Doubleview House only allows children’s parties for under 5’s at the Centre. Children’s safety is your responsibility. Please ensure children are properly supervised at all times. 

Balloons are only to be used inside. Please use blu-tack to hang decorations.

4.    Doubleview House maintains a smoke-free environment, this also includes vaping. We are not a licensed venue – the sale of alcohol on site is prohibited.

5.    Equipment is to be used for intended purpose and in the designated areas only. Please ensure Centre is kept neat and tidy ready for the next user.

6.    Payments:
Party Hirers and Casual room hirers: Payments must be made before the booking date. Party Hire bookings will not be reserved if payment has not been made. 

Regular Hirers: Payment is to be made within 30 days of receiving the invoice. Invoicing for regular bookings will be prepared on a quarterly basis. If payment is not received by the due date, Doubleview House reserves the right to cancel all future bookings. 

 

7.    Collection of Key:
Party Hirers and Casual room hirers: Collection of the key is to be organised with the office for collection within office hours. Key must be returned within the week following hire or for parties, posted through the mailbox at Scarborough Beach Road entrance. 

Regular Hirers: A key will be provided if hire takes place outside of office hours. A key deposit will be paid to Doubleview House and the key given to the Hirer. The key will the hirer’s responsibility until the cessation of the hire agreement. When the key is returned the deposit will be refunded. Loss of key will incur cost to replace the key. 

 

8.    Bond:
Doubleview House does not require hirers to leave a bond. We trust hirers and attendees to do the right thing and look after the centre when we are not here. 

In the event there is damage to any Doubleview House property this must be paid for by any person/s who wilfully and negligently caused such damage. 

If you notice anything amiss or have any issues, please contact the office. 

 

9.    Cancellations and amendments to bookings:
Party Hirers and Casual hirers: Cancellations must be given 48 hours of booking date, if insufficient notice is given, 25% of the total booking fee will be deducted. 

Regular hirers: Cancellations for a single date require a minimum of 7 days’ notice with no additional fees being incurred. 

Non-attendance or a failure to cancel any booking will result in full fees being charged. 

Attending the centre outside of your booked hours is not permitted. Violation of this can result in cancellation of future bookings.

 

10.    Cleaning Doubleview House is your responsibility. Cleaning procedure for the end of the hire: 
•    Vacuum areas used. There is a vacuum cleaner in the laundry off main kitchen and in the storeroom off the meeting room. 
•    There is also a mop in the laundry for spills on lino. 
•    Wipe all surfaces used, this includes tables and trestles. 
•    Please take all rubbish with you. Rubbish bin and bin liners are in the kitchenette and main kitchen.
•    Remove all decorations. 
•    Return all furniture and equipment to the same place as found on arrival. 
•    Return all outdoor furniture and toys to the shed and lock. Please ensure the shed key is on the office door before locking. 
•    Playroom: please return all toys to their designated areas. Please use the guide photos in the playroom. 

Should Doubleview House not be left in a clean and tidy condition a cleaning fee will be charged.

 

11.    Lock up procedure requires:
•    All lights, fans and air conditioners are turned off.
•    All blinds are drawn. 
•    Doors are locked.
•    Oven in main kitchen is turned off. 
•    Key returned to lock box or posted through mailbox (if used).                

 

12.    The Hirer indemnifies and releases Doubleview House from:
•    Any accident, damage, loss or injury to any person or property arising from the use of the Doubleview House Community Centre.
•    Any loss, damage or costs suffered by Doubleview House from any default or breach of this Agreement by the Hirer.
